Parents check their phones many times a day, but a notice in a school diary is often missed. That is why more and more schools, colleges and coaching institutes use bulk SMS for schools to share fee reminders, holiday notices, exam schedules and emergency alerts in seconds. This guide explains how schools use SMS, ready-to-use message ideas, DLT rules and tips to get the best results.
Why use bulk SMS for schools?
- Reaches every parent – SMS works on every mobile phone, even basic phones without internet.
- Read quickly – most text messages are opened within minutes, so urgent notices are not missed.
- Low cost – one message can reach hundreds or thousands of parents at a very small cost per SMS.
- Saves staff time – no need to call parents one by one or rely on printed circulars.
- Works 24×7 – service messages such as attendance alerts are delivered even to DND numbers.
- Hindi and regional languages – Unicode SMS lets you write in the language parents understand best.
How schools and coaching institutes use SMS

Attendance alerts
Send an automatic message when a student is absent or late, so parents know immediately.
Fee reminders and receipts
Remind parents before the due date and send a confirmation when the fee is paid. This alone can reduce late payments noticeably.
Exam schedules and results
Share date sheets, admit card information and result announcements with every parent at the same time.
Holidays and timing changes
Inform everyone about holidays, early closures or changed bus timings, especially in bad weather.
Parent-teacher meetings and events
Invite parents to PTMs, annual day, sports day and workshops, and send a reminder a day before.
Admission enquiries
Coaching institutes and schools can send admission updates, demo class details and course information to interested students and parents.
Emergency alerts
In an emergency, one SMS reaches all parents and staff within minutes.
Sample SMS templates for schools
These examples show the style that works well. Before sending, each template must be registered on DLT with your own school name.
Dear Parent, your ward {#var#} was absent from school today ({#var#}). Please contact the class teacher for any concern. - ABC Public School
Dear Parent, fee of Rs {#var#} for {#var#} is due on {#var#}. Please pay on time to avoid late fee. Ignore if already paid. - ABC Public School
Dear Parent, school will remain closed on {#var#} on account of {#var#}. Classes will resume on {#var#}. - ABC Public School
Dear Parent, Parent-Teacher Meeting for class {#var#} is on {#var#} at {#var#}. Your presence is important. - ABC Public School
DLT rules schools must follow
Like every business in India, schools and coaching centres must complete DLT registration before sending bulk SMS, as required by TRAI:
- Register the school or institute as a Principal Entity using its PAN and registration or GST proof.
- Register a 6-letter sender ID (header) related to your institute's name.
- Register each message as a template. Attendance, fee and exam updates are normally service messages; admission offers are promotional.
- Promotional SMS can only be sent during the allowed daytime hours and not to DND numbers without consent.
Not sure about the difference? Read transactional vs promotional SMS.
Tips for better results
- Keep parent numbers updated – collect them at admission and update every session.
- Use groups – create class-wise and section-wise groups so each message goes only to the right parents.
- Personalise – include the student's name and class; parents respond better.
- Keep it short – one SMS holds 160 English or 70 Hindi characters; longer messages cost more.
- Schedule in advance – plan reminders before fee due dates and exams.
- Check delivery reports – find wrong or inactive numbers and correct them.
- Connect your school software – use the SMS API to send attendance and fee messages automatically.
SMS, WhatsApp or both?
SMS is the most reliable way to reach every parent, including those without smartphones. Many schools also use the WhatsApp Business API to share PDFs such as date sheets, report cards and circulars. Using both together gives the best reach.
